Finance Payment Processing and Orders Reminder

A friendly reminder on working with the Finance department to make sure payments and supply orders can be processed in a timely manner.

  • All invoices, expense reimbursements, cheque requests and payment requests need to be approved/coded by the appropriate budget managers to be processed. All email requests should be sent to accounts.payable@utschools.ca to ensure someone from the Finance department can assist in a timely manner.

  • All expense reimbursement forms must be approved/coded, including original detailed receipts and proof of payment.

  • Cheque runs and credit card payments are done weekly on Thursday. Please provide approved/coded invoices and payment requests 15 days in advance, but at the latest by the Friday before at 5 p.m. Any payment requests not submitted by this time may result in the payment not being included in the Thursday cheque run’s and will delay payment to vendors.

  • Rush payments will only be accepted on a case by case basis and at the discretion of the Finance department. Finance will do its best to accommodate rush requests as quickly as possible.

  • Involve finance when you are planning to make purchases, so that we can plan accordingly to help ensure vendors are paid in a timely manner.

  • Supply orders are done every Friday and all order requests should be submitted by Thursday at 2PM to Finance. All orders need to be approved and coded before they will be completed.

Black Mental Health Week is March 4 to 10

Measles update

With March break fast approaching, many families may have vacation plans. Due to travel and the potential of people missing their measles vaccinations during the pandemic, measles is on the rise. 

Measles is a very contagious viral infection and the virus can spread easily to others through the air when they come in contact with droplets of an infected person or the air when an infected person has breathed, coughed or sneezed. Symptoms include a red rash, fever, cough, runny nose, red eyes and feeling tired. Click here for more information. 

All individuals should consider getting vaccinated before they travel especially if they are not up-to-date or have never had a measles infection. The vaccination is available at your local doctors office or a public health clinic for school aged children.
